# RFQ Template for Electronic Components — How to Get Accurate Quotes from Chinese Factories

A poorly written RFQ (Request for Quotation) is the most common reason importers get inaccurate quotes from Chinese manufacturers. Factories quote what they understand — if your RFQ is vague, you'll get a vague price that bears no relation to your final landed cost. This page provides a complete RFQ template for electronic components, with field-by-field explanation of what to include and why. Before sending an RFQ, make sure to [vet the supplier](/vetting-oem-odm-suppliers) so you're only quoting factories worth quoting.

## RFQ Field Guide — What to Include and Why

### Incoterm selection

The Incoterm determines who is responsible for freight, insurance and customs clearance. For most importers outside China, DDP (Delivered Duty Paid) is safest — the supplier or agent handles everything to your door and you pay one all-in price. FOB means you handle freight from the Chinese port. CIF means the supplier handles freight and insurance but you handle import customs clearance at destination.

### PCB specifications

For electronic components involving PCBs, surface finish significantly affects cost and performance:

- **HASL (Hot Air Solder Levelling):** lowest cost, suitable for most consumer electronics
- **ENIG (Electroless Nickel Immersion Gold):** higher cost, better for fine-pitch components and long storage life

Copper weight affects current handling — 1oz is standard, 2oz needed for power electronics.

### Quantity brackets

Always request prices for at least 3 quantity brackets. Chinese factories price aggressively at higher volumes — the price difference between MOQ and 5x MOQ is often 20-40%. Understanding the price curve helps you plan order frequency and inventory strategy.

### Certification requirements

State certification requirements upfront — not after sampling. CE, RoHS, FCC and UL certifications add cost and time. A factory that quotes without knowing certification requirements will underprice and then surprise you with additional costs later. For substance compliance details, see our [RoHS & REACH lab testing guide](/rohs-reach-lab-testing-china).

### Tooling ownership

Always specify that tooling is owned by the buyer and cannot be used for other customers. This protects your design from being produced for competitors and gives you the right to transfer tooling to another factory if needed.

## 7 Common RFQ Mistakes That Cost Importers Money

### 1\. No technical specifications

"Bluetooth speaker, good quality" is not a specification. Factories will quote the cheapest version of what they think you mean. Always include dimensions, materials, key components and performance requirements.

### 2\. Asking for one quantity only

You'll never understand the factory's pricing structure from a single quantity quote. Always request 3 quantity brackets.

### 3\. Not specifying certification requirements

CE, RoHS and FCC certification add $500-5,000+ to your order cost and 4-8 weeks to your timeline. If you need them, state it upfront.

### 4\. Not specifying the Incoterm

If you don't specify, factories default to EXW or FOB — you then discover freight and import costs separately, often after the order is placed.

### 5\. Sharing your target price

Never include your target price in an RFQ to an unknown factory. You'll get quotes suspiciously close to your target that sacrifice quality to hit the number.

### 6\. Too short a response deadline

Giving factories 1-2 days to quote forces rushed, inaccurate responses. Give 5-7 business days — factories that respond in 24 hours to a complex RFQ haven't actually costed it properly.

### 7\. No NDA before sharing designs

If your product is proprietary, send an NDA before sending detailed specifications. Most Chinese factories will sign a basic NDA without issue.

Once RFQ responses come back and you've shortlisted 2-3 factories, run a [full factory audit](/china-factory-audit-complete-guide) before placing the first production order — quotes on paper are only as good as the factory behind them.

## Frequently Asked Questions

### What does RFQ stand for?

RFQ stands for Request for Quotation. It is a formal document sent to manufacturers requesting a price quote for producing a specific product to defined specifications. A well-written RFQ includes product specifications, required quantity brackets, packaging requirements, certification needs, lead time requirements and payment terms.

### What should I include in an RFQ for electronic components from China?

A complete RFQ for electronic components should include: product specifications (dimensions, materials, PCB specs if applicable), quantity brackets (at least 3), required certifications (CE, RoHS, FCC), packaging requirements, Incoterm, target delivery date, sample requirements, tooling ownership, payment terms and any compliance or testing requirements. Missing any of these will result in an inaccurate or incomplete quote.

### How long should I give Chinese factories to respond to an RFQ?

5-7 business days is standard for a detailed RFQ. Factories that respond in 24 hours to a complex technical RFQ have usually not properly costed the product. Rushed quotes lead to price revisions after samples, tooling surprises and timeline overruns.

### Should I share my target price with Chinese factories?

No. Sharing a target price anchors the factory to that number and encourages them to cut corners on materials or production to hit it. Get quotes first, then negotiate from a position of knowledge. The only exception is when you have an established relationship with a trusted supplier and want to confirm whether a budget is achievable.

### What is the minimum order quantity for electronic components from China?

MOQ varies significantly by product type and factory. Simple electronic accessories (cables, chargers, earphones) may have MOQs of 500-1,000 units. Complex electronics with custom PCBs may require 1,000-5,000 units for the first order due to tooling and setup costs. SMT (surface mount technology) assembly typically has a minimum run cost rather than a unit MOQ — usually $500-2,000 for setup regardless of quantity.
